Code of Conduct & Policies

Code of Conduct

By adhering to this Code of Conduct, all members contribute to a positive, respectful, and safe environment where everyone can enjoy the game of hockey.

The following Code of Conduct applies to all members affiliated with the Forest Hill Hockey Association (FHHA), including:​

  • Players

  • Parents and legal/de facto guardians (e.g., aunts, uncles, grandparents)

  • Coaches, assistant coaches, managers, trainers, and rostered volunteers

  • Referees and off-ice officials

  • Other volunteers

  • Board members

  • Paid employees or affiliates

 

This Code of Conduct is in force for all members during their affiliation with the FHHA as defined by:

  • Hockey Canada registration status as a player, team official, or parent/guardian

  • Board members/employees’ tenure or contract dates, as applicable

 

All members must:

  • Act in accordance with the provisions of this Code of Conduct

  • Abide by any disciplinary actions as determined by the FHHA Disciplinary Committee, up to and including suspension or revocation of membership and associated privileges.


 

General Conduct

 

All members of the FHHA are expected to conduct themselves in a manner consistent with the values of the FHHA, which include:

  • Integrity

  • Sportsmanship

  • Respect

  • Fairness

  • Compassion

  • Teamwork

 

​Members shall avoid any behaviour that brings the FHHA or the sport of hockey into disrepute, including:

  • Alcohol use by minors or abuse of alcohol by others

  • Use of non-medical drugs

  • Use of abusive or discriminatory language

  • Disrespectful or objectionable conduct

  • Disparaging comments or actions that undermine teammates, coaches, officials, parents, opponents, sponsors, or the FHHA

 

 

Prohibited Behaviours

 

Members must refrain from:

  • Disrespectful, offensive, abusive, racist, or sexist comments or behaviour

  • Harassment or bullying of any kind

  • Physical or sexual abuse, which should be reported immediately to law enforcement

  • Damage to property associated with FHHA activities, such as rinks or hotels

 

 

Player Responsibilities

 

Players shall:

  • Commit to their team by attending practices, games, and events, and give their best effort

  • Show respect for coaches, officials, and teammates

  • Follow the rules of the game to ensure the safety of all participants

  • Respect curfews and notify coaching staff if they leave team accommodations during away events

  • Adhere to local laws

 

 

Parent/Guardian Responsibilities

 

Parents and guardians shall:

  • Pay all required fees promptly and notify the FHHA of financial difficulties

  • Support their child's development and encourage fair play

  • Respect the decisions of coaches, team staff, and officials

  • Refrain from publicly questioning or criticizing volunteers or staff

  • Communicate concerns directly with coaching staff and follow the FHHA’s conflict resolution process

  • Accept full responsibility for any player sent home from away tournaments for breaking rules or laws

 

 

Coach and Team Staff Responsibilities

 

Coaches and team staff shall:

  • Be reasonable when scheduling practices and games, respecting players' other obligations

  • Teach players to respect rules, officials, opponents, and each other

  • Ensure players have fun and build their confidence

  • Provide fair and equal instruction and playing time for all players

  • Model respectful behavior and sportsmanship

  • Obtain and maintain all required certifications

  • Ensure facilities and equipment are safe and appropriate

  • Address conflicts and concerns in a respectful and constructive manner 


 

Competitive Team Banking Policy

 

To maintain transparency relating to the finances of each team’s budget, the following rules must be followed by Team Managers:

  • Teams must provide an estimated budget to players’ parents/guardians before or at the time of registration, receipt of which must be acknowledged in writing by each parent/guardian.

  • The budget should include estimated costs for practice ice, tournaments, on-ice skills instructors, uniforms, other branded clothing, and other relevant expenses.

  • Material adjustments (being 10% or more of the total budget) to the budget require prior approval from the manager, coaches and a majority of the parents of players, unless clearly indicated as estimates that are subject to finalization.

  • Teams are required to provide interim budget updates to FHHA on or before January 15 and final budget statements within 30 days of the end of each season. 

  • GTHL Teams are required to have all fees paid by August 31 of each season, and Select teams are required to have all fees paid by October 15 of each season. 

  • Each team must maintain a bank account under the team's name with a chartered bank approved by FHHA. Each team bank account must be opened at the start of the season, with a zero balance, and shall be closed (or frozen) within 30 days of the end of a season, with a zero balance. 

  • The team account must have at least three signing authorities, including at least one Team Official and at least two parents/guardians of players who are unrelated to any Team Official (coaches, manager, team staff) or FHHA Official. All three signing officers must be reported to FHHA upon opening of the bank account for the team. 

  • Any team wishing to accept funds from third parties for deposit into their team account (such as sponsors) must have controls in place to ensure that funds are not being misused, according to the GTHL rule book. If any sponsorship of other third party funds are not used during a season, such funds shall be returned to the third party. 

 

 

Use of FHHA Branding and Logos

 

Members are prohibited from:

  • Using FHHA logos or marks without prior written consent from the FHHA President or Board of Directors

  • Participating in non-sanctioned events (e.g., spring leagues) using FHHA jerseys or equipment

  • Using FHHA sponsor logos without written permission from the owner

  • Speaking on behalf of the FHHA to media without written consent from the FHHA President or Board

 

 

Uniform Policy

  • House league Teams are expected to wear their house league jerseys and socks at all house league games. No exceptions. If a player loses or forgets their jersey or socks, they should tell their coach and/or convenor and try to find a solution. Any other socks worn by a player to a house league game will result in a 2 minute “unsportsmanlike” penalty for the team at the beginning of the game. 

  • Select and GTHL Teams are expected to have two sets of jerseys in both home and away colours and carry both sets to all games. Teams are expected to wear their home or away uniforms, according to whether they are scheduled as the home or away team. 

  • All players on a team (including goalies) must wear team jerseys of the same base colour. Players (excluding goalies) must wear two socks of the same base colour. Players not complying with the rule will be asked to change. Non-compliance will be reported to the Board. Repeated offences will result in a fine or penalty levied against the offending team, at the discretion of the Board.  

  • Each of the players on a team must be assigned a specific jersey number which they will wear all season. Any team or Club refusing to adhere to the above regulations on Uniform Policy in any House League, select, GTHL or playoff game will have the details noted on the back of the game sheet by the Referee. At the discretion of the Board, the team may be charged with a defaulted game or other relevant penalty. 

 

 

Music Policy

 

To maintain a respectful and inclusive environment, all team music must adhere to the following guidelines:

  1. Volume Control – Music played outside the dressing rooms (e.g., in hallways, lobbies, or common areas) must be kept at a reasonable volume to avoid disturbing others. If arena staff or team officials request a volume adjustment, it must be respected immediately.
     

  2. Appropriate Content – Music played in shared spaces must be free of offensive or inappropriate language, including profanity, discriminatory remarks, or explicit content. Team staff and captains are responsible for ensuring compliance.
     

Failure to follow this policy may result in disciplinary action as outlined in the association’s Code of Conduct.

Privacy Policy:

The Forest Hill Hockey Association (FHHA) does not share personal contact information with anyone for any reason unless required to by law. We receive and collect the following types of personal information:

Personal information you provide directly. We receive the personal information you provide when registering with our league. When you register for our league, you will be asked to provide specific information about yourself to participate in the league. This personal information includes your first and last name, username, password, mailing address, phone number, date of birth, email address, payment information, and your gender.

We use the information we receive and collect for the following purposes:

To provide our services. We use the information we receive or collect to provide you with the services and operate our business. For example, we use this information to process registrations and payments, administer your participation in our league, and notify you about updates to our services or send other communications that are relevant to your use of our services.

To improve our operation and services. We also use the information we receive or collect to provide content you may find relevant and interesting and to maintain and upgrade our operations and our services. For example, we may use this information to solicit input and feedback about our services, identify and address technical issues on our services, and to send you electronic and other marketing messages about FHHA, specifically seasonal registration information.

Other parties in response to legal process or when necessary to protect us or our services. We or the other recipients of your personal information described above may disclose that information—including the contents of your communications—to law enforcement when required or permitted by applicable law, such as when we have reasonable grounds to believe that the information is relevant to a crime that has been or is being committed, or an emergency exists that poses a threat to your safety or the safety of another person or persons.

Promotional Emails. You may opt out of receiving future promotional email communications from us by clicking the “Unsubscribe” link in the footer of promotional email communications and updating your preferences. Note that we may continue to send you transactional or service-related emails regarding your account.

Access, Update, or Correct Information. In accordance with applicable law, you may have the right to access, update, or correct inaccuracies in your personal information in our custody and control, subject to certain exceptions prescribed by law. If you would like to access, review, or update your information, contact us using the information listed in the Contact Us section; include your first name, last name, username, and email address.​

House League Attendance Policy

Attendance at all House League games is mandatory for Select players. Missing House League games without an approved reason may result in disciplinary action, including suspension from Select team activities.

If a player is unable to attend a House League game for any reason, it is the responsibility of the player or parent to notify the league via their availability in TeamSnap. Absences will be reviewed by Convenors and the House League Supervisors for each division, and only approved reasons will be accepted.

Failure to comply with this policy may lead to further consequences.

Social Media Policy

The Forest Hill Hockey Association (FHHA) recognizes the importance of social media as a tool for communication, engagement, and promotion of our organization. This Social Media Policy outlines expectations for all members, including players, parents, guardians, coaches, volunteers, staff, and board members when using social media platforms in connection with the FHHA.

DO NOT post, shoot video, audio clips or take photos inside any dressing room. Do not post photos or video that can be viewed as a negative influence or can be construed as bullying or harassment. This includes, but is not limited to:

 

• Personal attacks: Name-calling, insults, threats, hurtful comments about appearance, voice or style, and all other forms of attacks.

• Discriminatory or derogatory language: Racism, sexism, homophobia, transphobia, ableism or other forms of discrimination.

• Harassment: Intimidation, or use of sexual or discriminatory imagery, comments or jokes.

• NSFW images and comments: Language and images that are generally offensive in nature.


DO NOT divulge secrets, confidential, proprietary or personal and/or health information or status concerning any aspect of the FHHA, whether concerning you or anyone else associated with the FHHA.

ALWAYS remember that even in your private communications, your actions and/or words — in any media — may reflect on the FHHA and may cause irreparable harm to the FHHA and its Members. Remain courteous and professional at all times.

THINK before posting – use your best judgment at all times. Ultimately, you are solely responsible for your comments and they are published for the public record. Your social media and any other online content is permanent and accessible to anyone. If you become aware of any breach of the social media policy by any person associated with the FHHA, contact the appropriate FHHA Executive Member.
